Notifications

The Notifications feature in MI:Viewer allows you to create a watch list of records and data in which you are interested, and then receive notifications when any of those items change. You can check for notifications about your watched items on the Notifications tab (Settings>Notifications), and you may also subscribe to receive email notifications when watched items change, if this has been set up by your MI administrator.

Viewing notifications

Note  If the Notifications tab does not appear on the Settings page, your MI administrator may have turned this feature off, or restricted access to the Notifications tab.

The Notifications tab in the MI:Viewer Settings page lists those records in the watch list for the current database that have changed since the specified date.  Note that if a watched object changes several times over the specified period, you will only be notified about the most recent change.

Notifications will be generated for changes to records and the data in those records. Note that notifications simply indicate that there has been a change, and when that change occurred; they do not include details of any changes. The time of the change is displayed in current time zone. However, the time stored in the database is Coordinated Universal Time (UTC).

To view the notifications

  1. On the toolbar, click Settings and then click the Notifications tab.
  2. Select the database you want to see the notifications for.

    Note that only those databases that have watches in them and that are in your currently selected profile will be displayed.

  3. To show notifications since a particular date, set the date and click Load Notifications.
  4. If you add or remove items from the watch list, or wish to see notifications since a different date, click Refresh.

Setting up email notifications

Notifications can be sent by email. The frequency with which notifications are reported is set by the administrator of GRANTA MI. An email will be sent for each database that has watched items, if there have been any changes since the previous email was sent. Times in the email are reported in UTC.

To subscribe to email notifications

  1. On the toolbar, click Settings and then click the Watch List tab.
  2. Select Send an email to.
  3. Enter a valid email address in the field provided.
  4. Click Save.

Note: The email address is associated with the user currently logged in to MI:Viewer. Only one address may be saved per user.

To unsubscribe from email notifications

  1. On the toolbar, click Settings and then click the Watch List tab.
  2. Clear the Send an email to check box.
  3. Click Save.

Notifications will still be reported in MI:Viewer even when emails are not sent.

Changes that will generate notifications

The following changes to watched items will generate notifications.

Watched item Users are notified when : Users are not notified when :
Record
  • The record is renamed
  • A data value in the record is changed
  • A record color is changed
  • The subsets or links of a record are changed.
  • The record is deleted.

(in version-controlled tables):

  • The record is released
  •  The record is withdrawn
  • The record is reinstated
  • The record is superseded

(in version-controlled tables):

  • An unreleased version of the record is created or changed.

 

Folder
 
  • A record in the folder is renamed
  • A data value in any record is changed
  • A record or folder is added.
  • The folder is renamed
  • The folder color is changed.
  • The subsets or links of a folder are changed.
  • The folder or a record in the folder is moved or deleted.

     

(in version-controlled tables):
  • A record in the folder changes version state i.e. released, withdrawn, reinstated, superseded.
  • The folder itself changes version state i.e. released, withdrawn, reinstated, superseded.
(in version-controlled tables):
  • An unreleased version of the folder is created or changed.
 
Data
  • Data in the record is changed. Tabular data is regarded to have changed if its rows are changed, not if any of the records in the linked table are changed.
  • Data in the record is added.
  • The record is deleted (and hence the data is deleted).
  • Data is deleted.
 
(in version-controlled tables):
  • The record is released and the data in it has changed
  • The record is withdrawn (and hence the data is withdrawn).
(in version-controlled tables):
  • Data in an unreleased version of the record is created or changed.
Table
  • There are changes to records, folders, or data in the table, as described above.
  • The table properties are changed.
